LEGAL ASSISTANT

Summary

Successful Candidates are detail-oriented, organized, and able to multitask in a fast-paced environment. Strong written and verbal communication skills, proficiency with legal software and office applications, and a solid understanding of legal terminology and processes are essential.

Reporting and Relationships

The Legal Assistant reports directly to the General Counsel and provides comprehensive administrative and legal support to ensure the efficient operation of the Legal Department. This position works closely with attorneys, paralegals, and other internal departments to facilitate communication, coordinate legal matters, and support organizational goals. The Legal Assistant may also interact with external counsel, clients, and government agencies on behalf of the General Counsel to manage documentation, scheduling, and information flow.

Skills, Knowledge, Abilities, and Experience

· Associate’s degree or higher in Legal Studies, Paralegal Studies, or a related field required.

· Bachelor’s degree preferred.

· Current or former law school students and retired legal assistants with relevant experience are encouraged to apply.

· Certification as a paralegal, NALA, NFPA, or similar is a plus.

· Must have prior experience working as a Legal Assistant, preferably in a nonprofit or corporate law environment.

· Working knowledge of nonprofit corporate law, governance, compliance, and regulatory filings.

· Experience supporting General Counsel or senior legal leadership is highly desirable.

· Familiarity with both state and federal filing procedure, contracts, and organizational policy documentation.

· Strong understanding of legal terminology, procedures, and documentation.

· Excellent written and verbal communication skills with the ability to draft, proofread, and edit legal correspondence and documents.

· Highly organized and detail-oriented with the ability to manage multiple priorities and meet strict deadlines.

· Proficient in legal research tools and office software (Microsoft Office Suite, document management systems, and case management software).

· Ability to maintain confidentiality and handle sensitive information with integrity and discretion.

· Strong interpersonal and teamwork skills for effective collaboration with attorneys, staff, and external parties.

Duties and Responsibilities

· Provide direct administrative and legal support to the General Counsel, including scheduling, correspondence, and document preparation.

· Maintain the General Counsel’s calendar, including meetings, hearings, filing deadlines, and other key legal and organizational dates.

· Draft proofread, and format legal documents such as contracts, agreements, bylaws, policies, and compliance filings.

· Prepare, organize, and file legal and court documents in accordance with federal, state, and local requirements.

· Maintain and organize confidential legal files, case records, and corporate documents in both digital and physical formats.

· Conduct legal research and compile summaries, case notes, and reports for attorney review.

· Assist in preparing board and committee meeting materials, minutes, and resolutions.

· Coordinate contract review and approval processes, ensuring proper documentation and compliance with organizational policies.

· Track legal deadlines, filing dates, and renewals for corporate registrations, licenses, and compliance requirements.

· Communicate with external counsel, vendors, and regulatory agencies as directed by the general counsel.

· Support internal departments with legal inquiries, document requests, and policy interpretation.

· Assist with special projects, audits, investigations, and compliance initiatives as assigned.
