ADMINISTRATIVE ASSISTANT
PUBLIC WORKS DEPARTMENT
Grade 10 - $20.99/hour

Tooele City is accepting applications for an Administrative Assistant in the Public Works Department.

In this position, you will provide advanced administrative support to the Public Works Director and division supervisors. Your work will be diverse and includes, but is not limited to:

  • Working as a confidential assistant to the Director.
  • Conducting specialized research for the Director.
  • Handling special or unique projects for the department.
  • Attending meetings that include strategy discussions, personnel, or other confidential matters; may attend meetings as a representative of the Director.
  • Composing professional communications such as letters, memos, policies and procedures, and other written documentation of a general, personal, or confidential nature.
  • Generating and maintaining spreadsheets, including skill with formulas, sorting, and preparing graphs from data.
  • Assisting the department director with financial matters such as running reports from the City's financial management software, researching expenditures, calculating numbers in support of the department's annual budget proposal, alerting the Director to issues with division budgets, and researching future costs.
  • Reviewing contracts or other important documents for accuracy and completeness.
  • Performing data input, generating reports, and analyzing data in support of the department.
  • Preparing agendas and other materials for administrative staff and other meetings; taking notes; and following through on assignments made during meetings.
  • Utilizing desktop publishing, presentation, Word, and other software to prepare presentations, publications, and other documents.
  • Maintaining files and records and setting up record-keeping processes for the department.
  • Communicating with internal and external agencies, representatives, and influential individuals on matters of significance impacting the department.

To be considered you will need:

  • To be age 18 or older,
  • A high school diploma (or equivalent); and,
  • Possess and maintain a valid Utah State Driver License and a driving record acceptable to Tooele City's insurability and risk management standards.

We find that individuals generally transition successfully if they have prior administrative work experience at an executive level and are comfortable with Word, Excel, PowerPoint, and desktop publishing software. We're looking for someone with diverse administrative skills, initiative, business acumen, and excellent communication and collaboration skills.
